Privacy policy
Last updated: 17 October 2026
This policy explains how Acorn Polymers (U.K.) Ltd uses personal information when you visit dentallabsupplies.co.uk (the "website"), place an order, open an account, sign up to our newsletter or contact us.
Who we are
Acorn Polymers (U.K.) Ltd is the controller of your personal information. We are registered in England and Wales, company number 03514874, at Victoria Works, Nelson Street, Bolton BL3 2DW.
For anything to do with this policy or your information, email info@acornpolymers.co.uk, call 01204 524404, or write to us at the address above.
What we collect
- Order and account details: your name, business name, billing and delivery addresses, email address, phone number, the items you order and your order history.
- Payment details: payments are taken by our payment providers (such as Shopify Payments and PayPal, including Apple Pay and Google Pay). We see the payment method and the last few digits of a card, not the full card number.
- Designs and artwork: if you use the Mouthguard Designer or the Appliance Box Designer and add a design to your basket, we receive the design details and any logo, text or artwork you upload, so we can make your order.
- Messages: what you send us by email, phone or the contact form.
- Newsletter: your email address and name if you sign up.
- Device and browsing information: your IP address, browser and device type, the pages you view and how you arrived at the website. This is collected through cookies and similar technologies (see "Cookies" below).
How we use it, and our lawful basis
- To take, make, deliver and support your order, including returns and questions about it. Our lawful basis is that it is needed for our contract with you.
- To run your account, for example to show your past orders and your usual items on the trade order form. Basis: contract.
- To keep accounting and tax records and to meet other legal duties. Basis: legal obligation.
- To prevent fraud and keep the website secure, including automatic fraud checks on orders by Shopify. Basis: our legitimate interests in protecting our business and our customers.
- To improve the website and our products, using information about how the website is used. Basis: legitimate interests, or your consent where cookies need it.
- To send our newsletter and news about our products and offers. Basis: your consent, or, for business customers who have bought from us, our legitimate interests. You can unsubscribe at any time using the link in every email, or by contacting us.
Who we share it with
We do not sell your personal information. We share it only with organisations that help us run our business, and only what they need:
- Shopify, which hosts our online shop and processes orders and payments;
- payment providers (such as Shopify Payments and PayPal);
- delivery companies (such as Royal Mail and FedEx), which receive your name, delivery address, phone number and email for delivery updates;
- for orders outside the UK, the services that work out and collect duties and import taxes at checkout, and the customs authorities of the destination country;
- our accounting and stock software (Zoho), where we keep orders, invoices and stock records;
- our email and newsletter provider, if you sign up;
- analytics providers (Google Analytics and Hotjar), which help us understand how the website is used;
- our professional advisers, and the police, HMRC or other authorities where the law requires it.
Information sent outside the UK
Some of these providers store or process information outside the UK, for example in the European Economic Area, Canada or the United States. Where this happens, the transfer is protected by UK adequacy regulations or by contract terms approved under UK data protection law.
How long we keep it
- Orders, invoices and other accounting records: six years after the end of the financial year they relate to, as UK law requires.
- Your customer account: until you ask us to close it, or after a long period of no orders.
- Newsletter details: until you unsubscribe.
- Uploaded artwork: as long as needed to make your order and any repeat orders, unless you ask us to delete it sooner.
- Messages: as long as needed to deal with your enquiry and any follow-up.
Cookies
The website uses cookies that are needed for it to work, for example to keep items in your basket and to let you sign in. With your consent, it also uses analytics cookies from Google Analytics and Hotjar. These record information such as the pages you visit, how you move around and use a page, how long you stay, and your browser and device, so we can see how the website is used and improve it. Google and Hotjar may process this information outside the UK. You can find out more in Google's privacy policy and Hotjar's privacy policy, and you can opt out of Google Analytics with the Google Analytics opt-out browser add-on. You can change your choice at any time and control cookies in your browser settings. If you block cookies, some parts of the website, such as the basket, may not work.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct information that is wrong or incomplete;
- ask us to delete your information, or to restrict how we use it;
- object to us using your information based on our legitimate interests, and to stop marketing at any time;
- ask for information you gave us to be sent to you or to another organisation in a usable format;
- withdraw your consent at any time, where we rely on it.
To use any of these rights, contact us at info@acornpolymers.co.uk. We will reply within one month. We may need to keep some information, for example accounting records, where the law requires it.
Complaints
If you are unhappy with how we have used your information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk or on 0303 123 1113.
Children
Our website and products are intended for dental laboratories, clinicians and adults. We do not knowingly collect information from children under 16.
Changes to this policy
We may update this policy when our services or the law change. The latest version will always be on this page, with the date it was last updated.
